Who we are: La Clínica de La Raza is a community-based health center committed to providing culturally appropriate, high-quality, and accessible health care to the diverse communities of the San Francisco Bay Area. We have spent over 40 years advocating for and creating a health home for the many that have been denied access to care. As health care activists, we are dedicated to making sure individuals who do not have health coverage get the same level of quality healthcare as those who have it.
From our genesis as a community health center in 1971, we understood that we cannot heal our communities without also addressing the economic and social factors that affect health. Many times, this requires that we go outside and provide services in other settings to build the bridge that links individuals to our health center for preventive and primary care. Over 90,000 individuals come to La Clínica because it is a welcoming place that addresses the whole person, coordinating and connecting them to a broad network of services to improve and maintain their health and well-being. While we are still known for our activism and spirit of social justice, we are also proud to have grown into a sophisticated provider of primary health care services with 35 sites across Alameda, Contra Costa and Solano counties.
ABOUT THE POSITION:
Under general direction of the Cultura y Bienestar Manager, the Program Assistant is responsible for initiating and coordinating administrative tasks for the Mental Health Prevention Program including assisting community members who seek services. Tracks data and is responsible for data entry and managing/tracking large quantities of data. Is responsible for scheduling trainings, workshops, and meetings for program staff. Schedules childcare services for the various mental health workshops. Additionally, is responsible for tacking data toward program objectives, developing resource lists, keeping them updated, preparing fliers, and creating advertising/educational materials. Additionally provides administrative and technical support to manager, and CyB’s program staff of Cultura y Bienestar’s Prevention Program.
Major Areas of Responsibility include but are not limited to:
- Answers and Screens incoming telephone calls. Responds to requests for information and provides assistance to callers and provides back up to clerical staff including answering phones, greeting and registering client.
- Drafts financial, statistical narrative reports. Complies data and information for program and keeps program policy and procedures updated.
- Responsible for data management including filing, copying faxing, work processing, data entry and managing/tracking large quantities of data. Transfer manual data into computer via MS Excel.
- Prepares memoranda, updates and distributes notices and information to staff as requested.
- Develops Power Point presentations, designs templates, designs fliers and educational material in MSWord & PDF.
- Maintains complete and accurate administrative files/documents, records, calendars, logs and other documents.
- Review/screens employment applications, coordinates interview schedules, and performs other HR duties.
- Maintains staff and department licensing information as well as department and administrative manuals.
- Coordinates and schedules meetings, meeting spaces, trainings, traditional healing workshops and childcare. Includes preparing agenda, preparing facilities, tracking participants, and recording minutes.
- Informs at risk underserved and un-served community members who arrive at Cultura y Bienestar about Medi-Cal services, assisting at risk Medical- Cal eligible or potential individuals to understand the need for mental health services covered by Medical, and actively encouraging those in need who are reluctant to accept needed mental health and health services.
- Provides referrals to mental health services for individuals/family units who present at Cultura y Bienestar in a crisis situation and are I need of intervention/counseling.
- Responsible for facilitating screening and assisting Cultura y Bienestar participants with the application for Medi- Cal benefits for those seeking MH Services.
- Assists individuals to access Medi-Cal covered physical health and mental health services by providing referrals and follow-up activities for those who may benefit from such services.
- Other duties as assigned.
- Responsible for reporting data on a weekly basis to ACBHS on services Cultura y Bienestar has provided to Alameda County residents on Insyst and Clinicians Gateway.
Minimum Qualifications:
- High School Diploma/GED
- To perform this job successfully the individual in this position must have solid knowledge of internet software, Microsoft Outlook, Word Excel and POWER Point for presentations.
- Requires excellent verbal and written communication skills. Ability to compose letters correct form and grammar, spelling, and punctuation for business correspondence.
- Ability to add, subtract, multiply divide. Compute rations and percentages, draw and interpret bar graphs and pie charts. Ability to establish formulas to achieve the mathematical calculations in an MS Excel spreadsheet.
- Extremely well organized, precise and able to handle/prioritize multiple projects simultaneously. Ability to work on complex projects with general direction and minimal guidance. Analytical aptitude with attention to accuracy and detail.
- Must be compassionate, be sensitive to their emotional needs with ability to make clients feel welcome.
- Ability to work across cultures and demonstrate support of diversity, equity and inclusion.
- Bilingual English/Spanish required.
